The Administrative Assistant supports the Construction Administrative Manager in the coordination of construction operations.
Roles and Responsibilities :/h3:(Essential Duties and Functions):/h3:
:Lead and uphold TNY values
:Reinforce and lead by example on TNY safety culture
:Promote and enforce TNY and OMG Safety Practices
:Provide support and assistance as required for construction operations. This may include the following:
:Billing / track progress payments
:Job set ups in accounting system
:Completion of bid documents
:Order, log and maintain certificates of insurance
:Progress posting / tracking and time sheet review
:Preparing various reports as required
:Job cost (tracking, reporting and forecasts)
:Affirmative action reporting / affirmative action tracking
:Certified payroll preparation
:Point of sale order entry
:Order and price verification
:Field office set up and/or support
:"Call Before You Dig" as required including calls and/or records and/or records maintenance
:Compliance with contract obligations such as bulletin board information, SDS, preconstruction info, project closeout submissions, etc.
:Assist with hire / layoff forms, tool box safety information, record keeping
:Identify and report safety, personnel, and equipment/operational problems, in a timely and effective manner.
:Frequent / continuous communication w/ project supervision, provide general support as required.
:General Office Duties
:Includes daytime, plus evening and weekend phone calls from time to time.
:Regular and predictable attendance at assigned times is required.
:Other duties as may be assigned.
:May be assigned a lead role in these tasks from time to time
Marginal Duties and Functions
:Assists other departments as requested or assigned
:Help implement any initiatives that affect the Construction Division (new safety or HR policies, new State specs, etc.)
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
:High School diploma or general education degree (GED) with 5 years construction and/or other related experience
:Associate degree (Accounting, Business, Construction, Engineering or related field)
:Experience with procurement tools, processes and systems preferred
:Experience in mining, construction or manufacturing preferred
:High level of proficiency with all Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
:Proficiency with Viewpoint accounting system. Knowledge of estimation software
:Strict adherence to safety requirements and company procedures as outlined in Employee Handbook.
:Report to the assigned job site ready to begin work at the designated start time.
