Job Description

The Office Associate will report to and work closely with the Owner / General Manager to manage the daily office responsibilities related to operating the administrative, operations, production and marketing facets of the business and help the General Manager execute activities designed to improve sales.

Office Associate Job Duties:

Marketing: Various tasks related to marketing the business including: organizing direct mail campaigns; working with vendor(s) on website updates; customer cold calling; assisting at home shows; assisting with street signage campaigns

Sales: Various tasks related to increasing sales including: proactively contacting Internet and other office leads; entering customer leads into CertaPro sales database; scheduling and confirming customer appointments; preparing materials for owner appointments; follow:up emails and phone calls to current estimate customers

Production: Various tasks related to producing sold projects including: confirming job details with customer; production scheduling; assisting painters with ordering paint and materials; managing administrative production process with paint crews

Financial: Various tasks related to the finances of the operation including: costing completed jobs in CertaPro sales database; paying bills (as needed); preparing paint crews payments; making bank deposits (when needed)

Administrative: Various tasks related to the administration of the office including: general customer service; answer telephones; order office supplies; file important papers and job jackets; process all mail

Human Resources: Various tasks related to human resources including: maintaining current sub:contractor insurance forms; obtain background checks on all sub:contractors

Miscellaneous: There are ad hoc responsibilities that the Owner will request of this position, such as helping to lead charitable efforts (events, etc.).

Skills/Qualifications: Bilingual (Spanish and English) preferred, general office skills, computer skills including Microsoft Office (specifically Word, lite Excel, lite PowerPoint), scheduling, telephone skills, verbal communication, written communication, dependability, good appearance (will meet with clients at trade shows); clean drivers license

Education: College graduate preferred, but will accept a minimum of High School graduate with top grades

Salary: 16.00:17.00 per hour depending on experience, paid bi:weekly, no medical offered at this time, one week of paid vacation (accrued vacation negotiable) in first year, seven paid holidays. Commission opportunities available.

Hours of work: 8:00:5:00 Monday through Friday with the ability to work some Saturdays, if needed during peak season (April through July)

Performance metrics / goals: Job performance will be partial based on objective metrics that drive overall company revenue and performance such as leads, slippage rate, sales success ratio, and NPS scores. The Office Associates performance directly impacts each of these areas. If the franchisee meets/exceeds his goals in these critical areas, a performance bonus of 500 will be distributed to the OA at the end of each quarter. Metrics to be reviewed with the OA.
